Lease Administrator

Key Responsibilities:

  • Accurate interpretation and set up of all leases in the system and other applications
  • Conduct audits of Year-End Common Area Maintenance (CAM), Insurance, and Real Estate Tax reconciliations; thoroughly review, interpret, and analyze all charges for accuracy, in accordance with lease documents. Directly responsible for dispute resolution with landlord for any identified discrepancies
  • Perform detailed analysis, review, and approval of client invoices including annual operating expense and real estate tax reconciliations
  • Manage the internal lease approval process
  • Report audit findings, along with recommended actions to the client
  • Develop and prepare financial reports for clients, including: monthly rent rolls, real estate budgets, variance reports, etc.
  • Design, produce, and provide timely and accurate review of monthly/quarterly financial reports, identify and record savings, identify exceptions, investigate causes of exceptions, and recommend solutions to prevent further errors
  • Ensure the financial obligations of the Client is accurate and that monthly rents are processed in a timely manner
  • Review lease agreements and abstracts key information including but not limited to lease provisions, clauses, options and critical dates, property information (i.e. Business, legal and financial agreements and obligations, terms and conditions)
  • Establish work priorities and create schedule to accomplish client objectives; autonomously manage multiple projects/priorities in a fast- paced environment
  • Monitor and update lease abstracts/database
  • Monthly rent roll responsibilities including review of preliminary rent reports in preparation for rent roll posting
  • Establish and maintain client files
  • Special projects upon request

 Requirements:

  • Post secondary education in Business Administration or related discipline
  • 2-4+ years’ experience in lease administration or commercial property accounting preferred
  • Advanced knowledge of Microsoft Excel
  • Proficiency using lease management databases preferred
  • Excellent internal and external customer service
  • Experience managing multiple client projects with time sensitive deadlines
